What happens if I need to correct my data?
Our system is completely stateless - we don't store your transaction data between
uploads, which means maximum privacy and GDPR compliance. If you receive a report with transactions
marked as "Requires_User_Input" (typically utility bills that need "Gas" or "Electricity" specified),
the correction process is simple:
- Open the attached CSV file and filter for "Requires_User_Input" transactions
- Update those descriptions in your original upload file (e.g., change "EDF ENERGY" to "EDF ENERGY - ELECTRICITY")
- Re-upload the corrected file through the same upload page
- You'll receive a clean, warning-free report typically within minutes
Each upload is processed independently, so there's no risk of data mixing or retention. This
stateless approach ensures your sensitive financial data is processed securely and never stored,
giving you complete control and peace of mind.
What file format do you accept?
We accept CSV files with the following required columns:
- date - Transaction date (YYYY-MM-DD format)
- description - Transaction description
- amount_gbp - Amount in British Pounds
Optional columns that improve accuracy:
- supplier - Supplier or merchant name
- category - Your existing category classification
The upload page includes detailed instructions and a sample CSV format. Most accounting software
can export transactions in this format.
How long does processing take?
Processing typically completes within a few minutes. You'll receive an email with your results
(CSV and PDF) once processing is complete.
What if I don't receive my email?
First, check your spam/junk folder. If you still don't see the email, please contact
support@sustainledger.co.uk
with your job ID (shown on the upload confirmation page) and we will investigate and get back to you ASAP.
Is my data secure?
Yes. Our system is completely stateless - we process your data and generate reports, but we don't
store your transaction data between uploads. Each upload is processed independently and your
sensitive financial information is never retained. This approach ensures maximum privacy and GDPR
compliance.
Can I use this for multiple clients?
Yes, you can process files for multiple clients using the same account. Simply specify a different
company name for each upload. However, there's currently no built-in dashboard to organize or manage
multiple clients from one interface. We're working on a multi-client dashboard for accounting practices
that will allow you to manage all your clients' carbon reports from a single interface with better
organization and tracking. This feature is coming soon - contact us if you'd like to be notified when
it's available.
When will FreeAgent integration be available?
FreeAgent integration is in development and coming soon. This will allow direct connection to your
FreeAgent account for automatic transaction import, eliminating the need to export and upload CSV
files. Sign up for our mailing list or contact support to be notified when this feature launches.
Is this really free?
Yes, SustainLedger is free during Early Access. We're working with early users to refine the
platform. Existing early users will receive notice ahead of any pricing introduction and may be
eligible for special early adopter rates. No payment details are required to get started.
What emission factors do you use?
We use the latest official UK Government Greenhouse Gas Conversion Factors published by DESNZ/DEFRA
for 2025/2026. All calculations follow the GHG Protocol Corporate Standard and are aligned with
PPN 006 requirements. The methodology is clearly stated in every report.
